Terms & Conditions

​

**AGREEMENT**
By placing a rental order with Velvet & Vine Events Rental LLC, the client agrees to all terms and conditions outlined below. These terms apply to all rentals, deliveries, and services provided by Velvet & Vine Events Rental LLC, Woodlyn, PA 19094.

​

**RESERVATIONS & DEPOSITS**
A non-refundable deposit is required to reserve your event date and inventory. Your date is NOT held until the deposit is received. Inventory is subject to availability until payment is confirmed. All quotes are valid for 30 days from the date issued.

Deposit amounts are based on how close your event date is to the date of booking:
- 30% deposit if booking more than 14 days before the event
- 50% deposit if booking within 14 days of the event
- 100% full payment if booking within 7 days of the event

**FINAL PAYMENT**
The remaining balance is due in full 7 days prior to your event date. Failure to submit final payment may result in cancellation of your reservation and forfeiture of your deposit.

**PAYMENT METHODS**
We accept Venmo, Cash App, and direct bank transfer.

​

**SALES TAX**
Pennsylvania sales tax of 6% applies to rentals. Orders delivered to Philadelphia are subject to an additional 2% local tax, and orders delivered to Allegheny County an additional 1%, based on the delivery address. Tax is shown on your quote and invoice.

**CANCELLATIONS & REFUNDS**
All reservation deposits are non-refundable. Cancellations made 30 or more days before the event may receive a credit toward a future booking. Cancellations made within 30 days of the event forfeit the full deposit. No refunds will be issued for cancellations made within 7 days of the event.

​

**DELIVERY & SETUP**
Delivery fees are based on event location and distance from our Woodlyn PA location. Velvet & Vine Events Rental will deliver and retrieve all rental items within the agreed delivery window. The client must ensure clear and safe access to the delivery location. Setup and breakdown services are available at an additional charge of $1.00 per chair and $8.00 per table.

Drape Setup & Takedown is available with delivery orders for $50. We hang your drape panels straight on the frame and take them down after your event. Custom drape layouts are not part of this service. Clients are welcome to add their own finishing touches.

**PICKUP ORDERS**
For pickup orders, the client is responsible for the safe transport of rental items from the time of pickup until they are returned, and for setting up and taking down their own items.

​

**MULTIPLE VEHICLE FEE**
Large orders requiring more than one vehicle for delivery may incur an additional delivery fee. Clients will be notified of any additional fees in advance before confirming their order.

​

**RENTAL PERIOD**
All rentals are for a single day unless otherwise agreed upon in writing. Items must be available for pickup at the agreed time. Return is due the next day by 5:00 PM. Late returns may result in additional charges of $50 per hour.

 

**DAMAGE DEPOSIT**
A $50 refundable damage deposit applies to drape and frame rentals. If both drapes and a frame are rented in the same order, the deposit is $50 total. If drapes or a frame are rented separately, the deposit is $50 for that order. The deposit is refunded after items are returned and inspected, less any charges for damage or loss. This is separate from the non-refundable reservation deposit.

**DAMAGE, LOSS & THEFT**
The client is fully responsible for all rental items from the time of delivery until pickup. The client will be charged for any items that are lost, stolen, broken, or damaged beyond normal wear and tear. Damage that can be repaired or cleaned will be charged at the cost of repair or cleaning, up to the full replacement cost. Items that cannot be repaired will be charged at full replacement cost.

**LINEN CARE & STAINING**
Linens are expected to be returned in reasonably clean condition, accounting for normal wear from use. Linens returned with excessive staining requiring special treatment or multiple wash cycles may incur a cleaning fee of $10-15 per linen. Linens with permanent damage (wax, burns, tears, ink, or stains that cannot be removed) will be charged at full replacement cost as listed above.

**CLIENT RESPONSIBILITIES**
The client is responsible for:

Ensuring a safe and accessible delivery location

Protecting rental items from weather, food, and beverage damage

Ensuring rental items are not moved to a different location without prior approval

Having all items ready and accessible for pickup at the agreed time

**WEATHER POLICY**
Velvet & Vine Events Rental is not responsible for weather-related damage to outdoor rental items. The client assumes full responsibility for protecting rental items from rain, wind, and other weather conditions. Deposits are non-refundable due to weather.

​

**DECOR RENTALS**
Floral arrangements and arch rentals, including the heart arch, must be set up and broken down exclusively by Velvet & Vine Events Rental staff. Drapes and frames are set up by the client unless Drape Setup & Takedown is purchased with a delivery order. A designated responsible adult must remain with all decor items at all times until our staff returns for breakdown or pickup. Velvet & Vine Events Rental is not liable for weather related damage to outdoor decor rentals. Client assumes full liability for any damage or theft occurring during the rental period.

 

**SUBSTITUTIONS**
In the unlikely event that a specific item becomes unavailable, Velvet & Vine Events Rental reserves the right to substitute a comparable item of equal or greater value. The client will be notified in advance whenever possible.

 

**LIABILITY**
Velvet & Vine Events Rental LLC is not liable for any injuries, accidents, or damages that occur during the use of rental items. The client assumes full responsibility for the safe use of all rented equipment during the rental period.

 

**PHOTOS & MARKETING**
Velvet & Vine Events Rental reserves the right to photograph rental setups for marketing purposes including social media and website use. If you prefer your event not be photographed please notify us in writing prior to your event date.

 

**GOVERNING LAW**
These terms and conditions are governed by the laws of the Commonwealth of Pennsylvania. Any disputes shall be resolved in Delaware County, Pennsylvania.
